Terms and Conditions

These are the terms on which we cater an event at your venue — what we need on site, what we bring, and who is responsible for what on the day.

Thank you for considering our outdoor catering services. Please find the general terms and conditions below.

General

Venue requirements

  • The client is responsible for obtaining any necessary permits or approvals for outdoor events.
  • Adequate space, access to utilities, and waste disposal facilities must be provided at the venue.

Food safety

  • Our team follows strict hygiene standards during food preparation and service.
  • It is the responsibility of the client to ensure the safety of guests with allergies or dietary restrictions.

Weather contingency

  • In case of adverse weather conditions, the client must provide an alternative indoor space or suitable arrangements for protection.

Service staff

  • The number of service staff is determined based on the guest count and service requirements.
  • Overtime charges may apply if the event extends beyond the agreed-upon time.

Additional services

  • Any additional services requested during the event that are not covered in the initial agreement may incur extra charges.

Terms and conditions related to the event site

Defined service area

  • The client agrees to designate a specific area for our catering services, including food preparation, cooking, and serving, as outlined in the contract.

Venue access

  • The client is responsible for ensuring our team has timely and unobstructed access to the designated catering area at the venue.

Surface requirements

  • The client must provide a flat, stable, and clean surface for food preparation and service to ensure the safety and efficiency of our operations.

Space dimensions

  • The client must provide accurate dimensions and details of the designated catering area to ensure proper planning and setup.

Outdoor setup

  • Adequate outdoor space must be provided for food preparation, cooking, and service. This space should be flat, level, and well-drained.

Weather contingency

  • In case of inclement weather, the client must arrange for suitable shelter or covering for the food preparation and service areas.

Power supply

  • The client is responsible for ensuring a reliable and sufficient power supply for catering equipment. Any additional power requirements must be communicated in advance.

Water supply

  • Access to a clean and potable water source for cooking and cleaning purposes must be provided at the venue.

Waste disposal

  • Our team will ensure the area is left clean after the event, and will collect and dispose of waste generated during food preparation.

Permits and approvals

  • The client must obtain any necessary permits or approvals required for outdoor events, including but not limited to health permits, noise permits, and venue permissions.

Guest seating

  • If the catering area includes guest seating, the client is responsible for arranging and managing the seating layout. Any specific requirements should be communicated in advance.

Restrictions

  • The client must inform our team of any venue-specific restrictions or regulations that may affect food preparation or service.

Site visit

  • We recommend a site visit to assess the catering area and discuss logistics to ensure a smooth and successful event.

Terms and conditions related to service

Security and safety

  • The client is responsible for the security of the service area and catering equipment during the event. Any damage, theft, or loss caused by guests or other third parties is the client's responsibility.

Timeline and coordination

  • The client agrees to coordinate event timelines with our catering team to ensure seamless service, including setup, food service, and breakdown. Delays caused by the client or other vendors may incur additional charges.

Vendor coordination

  • If other vendors are involved in the event, the client agrees to coordinate with them to ensure a smooth flow of activities within the service area.

Communication

  • The client should designate a point of contact for communication with our catering team during the event, to address any issues or changes promptly.

Guest cooperation

  • Guests are requested to cooperate with our staff during the event to facilitate smooth service. Clear communication regarding dietary restrictions or special requests should be encouraged.

Damages and cleaning

  • The client is responsible for any damage caused to the service area or catering equipment by guests or third parties. The client is also responsible for the cleaning of the service area after the event.

Force majeure

  • Neither party shall be held responsible for any delay or failure in performance due to circumstances beyond their control, including but not limited to natural disasters, strikes, or government regulations.
